The Museum Of Russian Art Executive Assistant

Position Description:

The Museum of Russian Art (TMORA) has an immediate opening for an experienced Executive Assistant to support and coordinate the work of the Museum's President and its Director of Museum Operations. This full-time position reports to the President of TMORA. Candidate's style must be highly self-motivated and suited to a small, but dynamic organization that emphasizes creativity, independence, and entrepreneurialism. Work may require occasional evening and weekend hours consistent with TMORA's schedule of events and programs

Primary Responsibilities and Duties:

  • Supports the Museum's President and Director of Museum Operations.
  • Drafts, proofreads, and edits correspondence and other written documents.
  • Handles all correspondence and calls for the President. Sets appointments and maintains the calendar.
  • Assists the President in tracking and maintaining donor-related information.
  • Organizes and maintains donor and membership records. Handles daily membership program responsibilities (correspondence, records, etc.).
  • Acts as board liaison, maintaining relations with board members on behalf of President, including scheduling calls and meetings, supporting the President in follow-up on board member requests, and keeping all records in electronic and physical format organized.
  • Coordinates Board and Committee meetings and prepares all necessary Board materials, including compiling agendas, meeting materials, resolutions, and meeting minutes.
  • Handles correspondence and manages calls for the Director, including assisting with museum-related travel and maintaining calendar.
  • Calendars meetings, sends reminders, distributes materials, manages RSVPs, and coordinates all arrangements for board meetings, committee meetings, and other museum meetings.
  • Serves as secretary to board and committee meetings.
  • Under the direction of the Director, creates and maintains spreadsheets and databases cataloging TMORA's incoming and outgoing exhibition pieces.
  • Assists the President and Director in scheduling, planning, managing, and hosting of special events, including donor-related events.
  • Other duties and responsibilities as assigned.

Required Qualifications:

  • Three to five years experience as an executive assistant, with broad experience in support for executives.
  • Excellent writing, phone, and computer skills required.
  • Highly organized with superior attention to detail.
  • Ability to work effectively under pressure and to multi-task.
  • Ability to be confidential and discreet with organizational information.
  • All applicants are required to demonstrate advanced knowledge of technology use and to be proficient in the use of Microsoft Office Suite products, including databases and spreadsheet applications in a Windows environment.

Compensation:

Starting salary range of $15.00 - $18.00 an hour, depending on experience. 40 hours a week; may work adjusted schedule on occasion if weekend or evening work hours are required. Two weeks vacation, six holidays, three personal days.
